Job Title: Bookkeeper – Automotive Body Shop

Job Type: Full-Time (Some Remote Possible)

Job Summary

We are a busy, high-end auto body shop seeking a detail-oriented and experienced Bookkeeper to join our administrative team. The ideal candidate will be responsible for maintaining our financial records, including purchases, sales, receipts, and payments. This role is crucial for the smooth financial operation of our shop, requiring a blend of general accounting knowledge and an understanding of the auto repair industry’s unique financial workflows, such as managing insurance payments, parts ordering, and technician payroll.

Key Responsibilities

  • Manage all accounts payable and receivable functions, including processing invoices, timely bill payments, and collecting on outstanding accounts.
  • Handle daily financial entries and reconcile bank statements, credit card statements, and other financial accounts.
  • Process payroll for technicians and administrative staff, ensuring accuracy in hours, commissions, and deductions.
  • Prepare and file necessary tax forms and ensure compliance with local, state, and federal government reporting requirements.
  • Track parts inventory costs and reconcile with supplier invoices.
  • Work closely with insurance companies to process claims, track payments, and resolve discrepancies.
  • Generate weekly, monthly, and quarterly financial reports (e.g., profit and loss statements, balance sheets) for management review.
  • Assist with budget preparation and financial forecasting.
  • Maintain an orderly and accurate financial filing system.

Qualifications and Skills

  • Proven bookkeeping experience, preferably within the automotive or a similar trade industry.
  • Solid understanding of basic bookkeeping and accounting principles (GAAP).
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and the MS Office Suite, particularly Excel.
  • Experience with auto body shop management software (e.g., Mitchell, CCC ONE) is a significant plus.
  • High degree of accuracy and meticulous attention to detail.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills for interacting with customers, vendors, and insurance adjusters.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Associate’s degree in Accounting, Finance, or a related field is preferred.
